Day 10 | Susan Gibson

Northeast Oklahoma Softball, Bentley Park, Sand Springs & the Public-Facility Record

USSSA Tournament Directors — The Public Record   •   October 21, 2026   •   Independent historical research

Tournament schedules connect teams and families to fields, but they also raise important questions about public access, operating agreements and the economics of community sports facilities. Today’s profile examines publicly associated Oklahoma USSSA fastpitch activity under the name Susan Gibson, with particular attention to Bentley Sports Complex in Bixby and Sand Springs Softball Complex.

Gibson has not previously been the subject of a numbered daily profile in this series. Her existing Baseball Heaven historical profile is a research source, not another day in this sequence. The publicly accessible series archive has been checked against the working Days 1–9 sequence.

Research-source status, as of October 21, 2026: The latest identified statewide baseline is AIUSSSA - HVIOG 9-20-2026.csv (20,305 division rows and 5,332 statewide unique events). This installment checks the director-level values against the September 20 inventory and the public research profile. The underlying statewide division-level CSV is not accessible in this run; therefore the 155 season-keyed events, game and officials figures are inventory-reported, not independently recalculated today. No invented event ledger, unverified dates or revised totals are supplied. The older director inventory is supporting evidence, not a substitute for the controlling row-level data when accessible.

What the public record documents

The September 20 inventory identifies 13 research seasons, 155 catalogued season-qualified event identifiers, 452 divisions and 3,886 team-event entries under Susan Gibson’s name. The existing director profile independently displays the same team, division, minimum-game and officials summary figures, plus $731,362 in calculated entry-fee activity. The inventory’s event count is not a count of divisions, and the 3,886 entries are not a count of different children or permanent teams.

Event definition. The inventory methodology uses season plus base tournament identifier, preventing division rows from automatically becoming extra tournaments. Some historical records may use shared URLs or event IDs; without the underlying rows, the final distinct-event link count, any re-used identifiers and individual schedule URLs cannot be fully audited here. A catalogue count should not be confused with every unique dated physical tournament, and the series will update that figure when the source ledger is rechecked.

Historical entry-fee activity by displayed season

Season / groupCalculated gross posted-entry fees
2025$18,394
2024$23,907
2023$61,053
2022$82,749
2021$81,268
2020$74,101
2019$56,233
2018$62,009
2017$73,745
Other seasons (aggregate, incl. 2013–2016)$197,903
TOTAL$731,362

The source report groups unlisted seasons as “Other Seasons.” It is not appropriate to manufacture year-by-year totals for 2013–2016 from that aggregate. The season categories above add once to $731,362.

Evidence: USSSA event and schedule records

These illustrative, source-linked event results directly credit Susan Gibson in the USSSA results interface. They are selected examples, not the full list of 155 catalogue entries. An individual results page may cover one division of an event, not the entire tournament; it is not counted as an additional tournament because more than one division appears.

Primary event page with schedule and admission information: The 2023 Oklahoma State Tournament All Ages (East) lists June 16–18, 2023, a $342 displayed entry fee, a schedule link, and different venue contacts: Susan Gibson for Sand Springs and Jace Sanchez for Owasso. Its Sand Springs gate schedule shows $10 adults, $7 seniors (65+), and $5 children (6–12). That event is multi-venue and multi-contact; its entire event total cannot be assigned to Susan Gibson, either municipality or either facility without division-level allocation evidence. A single posted 2023 price should not be applied retrospectively to all 2013–2025 events.

Archived USSSA Director ID: the September 2026 crosswalk associates Susan Gibson with 3706035 and records a historical director-profile URL. That URL did not load during this verification, and the particular sport path may be legacy. The USSSA fastpitch director search and verified event/result pages above are better immediately accessible evidence; the historical individual profile link is retained with an explicit access warning.

Which fields, municipalities and counties appear?

The source summary classifies calculated fee activity by the facility string associated with a record. Amounts on the following lines add to one director-level total; a multi-park label is one combined classification, not a separate payment independently received by every named park. The addresses are present-day documented addresses, not verification of which exact diamonds were used for every historical season.

The historical profile also classifies $698,303 under a stand-alone Tulsa County category, plus separately displayed multi-county categories, including Creek / Osage / Tulsa. These are source geographic associations; they are not proof of which county owns a specific parcel or received event proceeds. For countywide reporting, the event’s verified primary facility county should be used once. Unresolved primary locations remain unallocated rather than distributed across every listed county.

Municipal significance

Bixby publishes 8505 E. 148th Street South as the current address of Bentley Park Sports Complex and describes baseball and softball fields plus user-agreement access for some features. Sand Springs lists Will Ramsey Softball at 2500 S. River City Park Road, with lighted fields and concessions; a historical USSSA listing calls the venue “Sand Springs Softball Complex” and abbreviates the road name. This supports a likely facility-name crosswalk, but it does not establish historical legal possession, every usage date or a particular concession beneficiary.

Financial model: make the arithmetic visible

Calculated gross team-entry-fee activity: The controlling methodology ordinarily sums teams in each division × advertised fee for that division across source rows. The currently retrievable September 20 director summary reports $731,362. It does not establish actual payments, discounts, refunds, bank deposits, individual income or net profit. Division-level fee variations are not available to independently rerun that $731,362 subtotal here.

Admissions and concessions — transparent hypothetical scenarios

To avoid passing an unverified full-duration gate ledger off as audited cash receipts, the scenarios below apply one consistent set of illustrative assumptions to the 3,886 team-event entries:

20 paid spectators per team per charged day × $5 blended ticket equivalent × 1, 2 or 3 charged days per team-entry.
Gross concessions = 50% × modeled gate receipts.
Net concession proceeds = gross concession sales × 20% hypothetical operating margin (80% cost allowance).

Hypothetical charged daysGate: 3,886 × 20 × $5 × daysGross concessions: 50% of gateNet concessions: 20% of gross
1$388,600$194,300$38,860
2$777,200$388,600$77,720
3$1,165,800$582,900$116,580

Two-day worked example: 3,886 × 20 × $5 × 2 = $777,200 modeled gate. Assumed gross concessions = $777,200 × 50% = $388,600. Assumed net concessions = $388,600 × 20% = $77,720. These numbers are mutually exclusive day-count scenarios, not additive. A team-event count may include $0-fee events or extended leagues; the two-day model is a comparative sensitivity assumption, not verified days of attendance. Spectator mix, access exemptions, actual days, weather, cancellations and revenue rights remain unknown.

Do not confuse separate models: The earlier statewide inventory also reports a legacy modeled $1,088,500 gate and $544,250 concession gross under its own duration inputs. Event-level assumptions for those legacy outputs were not reproducible in this run, so they are shown only as unreconciled historical model figures and are not added to the explicit scenarios above. Neither approach determines actual receipts. The $77,720 two-day hypothetical concession net is not director compensation, profit or municipal revenue.

Minimum games and officiating workforce

The summary reports 11,036 minimum-game workload equivalents and 21,161 estimated officiating assignment-equivalents. These are estimates of scheduled activity based on available minimum guarantees and umpire-coverage assumptions, not confirmed completed games or individual workers employed. Multiple assignments may be filled by the same official, and cancellations or format changes may affect actual activity. The event-specific game guarantees and row-level placeholder adjustments require the underlying source CSV before a revised cleaned figure can be certified.

Questions for municipalities, families and facility managers

  • What permits, user agreements, leases or tournament reservations governed the identified ballfields in each season, and which organization had booking authority?
  • What published field-rental schedules, deposits, event charges and cancellation policies applied to public and community youth programs versus commercial tournaments?
  • Who was entitled under written agreements to collect and retain admission, parking, sponsorship and concession receipts; which records document actual deposits and disbursements?
  • Were municipal labor, utilities, groundskeeping, policing, sanitation, insurance and maintenance costs tracked by event or season, and were reimbursements required?
  • Did facility use reserve adequate time and reasonable fees for local league, school, recreational and girls’ softball participation?
  • How did municipal officials assess public benefit, accessibility and transparency when reviewing field-use arrangements? Were governing-body minutes, contracts and annual reconciliations publicly available?
  • For events naming multiple facilities, which primary facility hosted the event and which county should receive the single county-level attribution?

Unresolved for this installment: row-level 155-event reconciliation, full 452-division audit, individual division fee/teams verification, event-by-event primary-facility designation, exhaustive season/date ledger, historical lease/financial arrangements, historical admission counts, exact physical county for several venues, and actual cash receipts. These gaps are disclosed so readers can distinguish a verified source from a calculated summary or illustrative assumption.

Invitation for corrections and records

Baseball Heaven welcomes dated USSSA schedules, event IDs, field agreements, city/county minutes, verified facility addresses, corrections to director attribution, game records, attendance policies and documentation of how public-facility revenues were handled. Credible corrections will be evaluated and incorporated with transparent revision notes.
